That's not a suggestion from a clinical engineer—I'm a procurement manager, not an engineer. It's the most reliable way I've found to estimate the true cost of owning any reprocessing equipment.

The brochure is a photograph. The manual is an X-ray.

A catalog page tells you what a machine can do. A service manual tells you what it will ask of your people, your water, your building, and your maintenance budget. That difference is where the real money lives. In seven years managing sterile processing equipment at a 420-bed regional hospital, I've approved roughly $1.7 million in capital purchases and service contracts. I've learned that list price is not the cost. The service manual is the closest thing to a cost forecast you can get before you sign.

Why the Product Catalog Is Not the Problem

Let me be fair: the STERIS product catalog has value. As of January 2025, I still use it to compare model dimensions, cycle options, and utility connections. It's the right document for "which model fits our building?" But it's the wrong document for "what will this machine cost us over five years?"

Instructions Matter at Every Scale

I make the same point when I train new support staff. When someone searches for "how to use a blood pressure monitor," they're not looking for a brochure. They want to know how to position the cuff, how tight it should be, and what the numbers mean if the arm is at the wrong height. The instructions matter because the reading is only useful if you follow them.

A sterilizer is the same, but with higher stakes. The service manual is the instruction set for the entire life of the machine. It tells you what "correct" looks like for water quality, load packing, cycle parameters, and preventive maintenance. Skipping it is like using a blood pressure monitor without reading the instructions: you might get a number, but you don't know if it's true.

When the Manual Doesn't Replace the Contract

I'm not saying the service manual is easy to read. It's not. The first time I opened one, I felt like I was learning a new language. That's why I rely on our biomedical engineering team to interpret the schematics and evaluate whether the recommended maintenance intervals make sense for our volume. If you're in a smaller facility without that team, you need to include a STERIS service agreement in the purchase price. The manual doesn't replace a service contract. The same caveat applies to the product catalog. To be fair, it has its place. I'd never choose a model without comparing dimensions and cycles. But the decision should start with the service manual and then move to the catalog. Not the other way around.

If I could redo my first big sterilization purchase, I would have printed the service manual, put it in front of the finance committee, and said that this was what the machine actually costs. At the time, I didn't know any better. Now I do.

I can't tell you exactly what your manual will say, because every facility runs different loads and different volumes. But I can tell you this: the cheapest information in an equipment purchase is the manual you already have access to. Use it.
